New Method for Will Call Lists

Docents –

We are implementing a new and improved method for will call lists! We are phasing out the emailed will call lists and moving to posting the will call lists on The Bridge.

From now until March 1, the box office will continue to send will call lists via email but will also be posting will call lists to a link which can be accessed from the “Quick Links” section of The Bridge. After March 1, docents and tour directors will exclusively access the will call lists from The Bridge.

When you click on the “Will Call List” link, you will be able to find the date you are looking for and access the list.

Click the Will Call List link under Quick Links.

Click on the date you are looking for to access the will call list.

This new method will make things easier for both box office staff and docents.

The current method of manually looking up assigned docent and tour director email addresses is incredibly time consuming and includes the potential for human error when inputting email addresses. The automated system is more efficient and eliminates the potential for error.

Additionally, docents use a variety of different email providers, which sometimes leads to CAC emails not going through and docents not receiving the Will Call List. Last-minute changes to the schedule can mean that the will call email is sent to the incorrect docent.

Please take the time to familiarize yourself with the new method. Remember that for the rest of February emails will be sent along with the posted lists on The Bridge, but starting in March we will only post the will call lists on The Bridge.

I tested out the Feb 8 will call list on the Bridge. Two issues. The file name ends as XLSX_File. So no app I have will open it. But I removed the _FILE from the name extension then I could open the file with Excel. Also there are lots of excess columns of info. Don’t know if that can be changed to make it easier to read. But the width of the display name is so large the tour name has to be scrolled to be viewed.

      Hi Maurice,

Thanks for the feedback. We’re still working out the kinks during this transition period. I think I know what’s causing the file name issues and will try to get that resolved.

The ticketing system doesn’t export the data in a very clean format. It requires some light editing/clean-up. I’ll reiterate that to front line staff.

      Thanks,
